Using Bookit
The following instructions refer specifically to the web-based client
for Bookit. In addition to the web client, there are specific clients
available for UNIX, Mac and Nexus which you may prefer to use, although
the instructions listed below are specifically for the web client, so you
may note some differences. The Mac and Nexus clients are called "Oracle
Calendar"; on UNIX, the command is "ocal".
- Go to http://bookit.uwaterloo.ca
and use your UWDir userid. Your password is initially set to your
userid, so you should change it immediately.
- The web client will automatically connect to the server, but if
you are using one of the desktop clients, you may need to specify that
you want to use the server "bookit.uwaterloo.ca" (as opposed to the
'offline' method).
- Scheduling meetings or other events for yourself is
straightforward just click the small + sign beside the meeting time
(or click the clock in the menu bar). Use the Access Levels to control
privacy - "Personal" is for non work-related items that you don't want
other people to see, and "Public" should be used for items of interest
to everyone (including students), such as your labs, tutorials and
consulting hours.
- You can also manage a ToDo list by clicking the New Task icon in
the menu bar.
- You can obtain online help by clicking the ? in the menu bar.
Publishing your Bookit Schedule
You can publish a web link to your Bookit schedule, which can be
useful for students and instructors. This will publish only your "Public"
events (see above); all other events on your calendar will simply show
you as being Busy. To publish your web link:
- Click on the Preferences tab, and enable "Global Agenda
Viewing"
- Click the "Email Agenda to a friend" link from the calendar view
and eamil the URL to yourself.
- You can now copy the URL to post somewhere on the course web
page.
Special Instructions for Consulting Hours
These instructions tell you how to book Consulting Hours for yourself,
and at the same time, allow you to book space in MC 4065 to ensure there
wont be conflicts among ISAs all wanting to use the room at the same
time.
Rooms are able to have their own Bookit calendars; they are referred
to as Resources. Youre going to be booking 1 of the following 3
resources: MC4065-Mac, MC4065-Win, or
MC4065-Unix.
Begin by logging in to Bookit as yourself. Select the block of time
that you want to book your Consulting Hours for and click the + sign to
add a meeting as you would normally. Fill in the items on the New Meeting
page as follows:
- In the Title, you must enter both the course number and your own
name in the following format:
CS251 Consulting Hours — Greg Hines
Note: It may seem silly to put your own name in the title of your own
meeting. But you have to put your name in so that, when people open
the calendar for MC 4065, they can quickly see who is in the room by
looking at the title.
- Enter the location and start/duration times as you would for any
meeting.
- Click on the Repeating tab if you want to your Consulting
Hours occur on a regular basis (such as weekly), and fill in the
required settings. Do not click Create yet; you
still need to book the room!
- Click the People & Resources tab:
- Select Resources from the drop down menu.
- Type MC4065-Win (or whichever of the resources you're
booking) and click Find. The resource should be added
underneath your name.
- Click Create. Say No to Do you wish to send them an
email?
Now your calendar (and the calendar for the Resource) will show your
consulting hours.
Viewing the Schedule of a Resource (i.e. a room)
Click the View Agendas icon in the menu bar. Type MC4065-Mac
(or whichever resource you want to look at), click Resource
Search, and click Find.
